We conduct meeting because because we need to provide information, we want to make good decisions by getting some good ideas from others. We also wanted to enhance motivations and commitments, to develop synergy and to provide opportunities for positive reinforcements.
Meeting that are properly planned and conducted can inspire and motivate members to achieve higher levels of performance.
1. BEFORE THE MEETING–You can do brainstorming ,evaluate what you know , formulate alternatives,orient each alternatives, review agenda to make sure that you are prepared with information or assignments or task to be assigned to group members.
2. DURING THE MEETING– Observed display of teamwork, understand others viewpoints, remain focused, involved yourself, nurture other ideas, go for win win solutions, share information but be concise, encourage building of ideas by asking questions, avoid personal or negative remarks and keep the remarks, focused on the subject. Discuss the agenda clearly and ask if the agenda is clear to everybody. Accept suggestions and recommendations to come up with the best solutions.
3. AFTER THE MEETING– Act to perform assigned task. Ensure group integrity. Develop action plans and committees who will be assigned to execute the project or programs. Review next meeting Agenda.
