Meetings are staple part of the teaching profession.  Every now and then, administrators call for a meeting to discuss issues and other concerns affecting the school or programs which need to be implemented.  To make the meeting productive, five elements should always be present.

1.   The first concern is whether or not a meeting is necessary.  The nature of the meeting should always be considered.  And with that, the objective of the meeting must be clear.  Likewise, the feasibility of achieving the objective needs to be taken into consideration.
2.   There is need to clearly state the purpose for which the meeting is being called.  Also, agenda must be set and everyone should be furnished with a copy of the agenda so that they can prepare and contribute something into the discussion.
3.   Know who should attend.  A meeting becomes successful if the right people are in attendance.  Consider the objective and type of meeting to be conducted before coming up with the attendees.  Remember that, small groups achieve bigger objective.
4.   Timing is of the essence.  Consider the need, importance and urgency of the purpose. Consider the availability of all attendees, including the facilities and other needs.
5.   Have a place where everyone will be comfortable.  The arrangement in the meeting room contributes significantly to the success of the meeting.

The next time, a meeting is called for, these elements should be considered to ensure that all attendees will come out satisfied and the objective for which the meeting is called is achieved with clarity and ease.
